Terms & Conditions – NepalTrekTribe

Welcome to NepalTrekTribe.com. These Terms & Conditions apply to all services, trekking packages, tours, expeditions, and bookings made with NepalTrekTribe (“NepalTrekTribe”, “we”, “us”, “our”). You agree to these Terms at the time you confirm a booking through our website or official social channels.

1. Booking Agreement & Acceptance

Booking with NepalTrekTribe is confirmed after the required advance deposit is received and a written confirmation is issued by us (via email, WhatsApp, or official message). Once confirmed, these Terms form a legally binding agreement between NepalTrekTribe and the client (“you”).

2. Prices, Currency & Trip Details

  • All prices are quoted in USD unless stated otherwise.
  • Trip prices include only the services clearly listed under “Cost Includes”.
  • Services under “Cost Excludes” remain the client’s responsibility.
  • Common exclusions include international flights, Nepal visa fees, insurance, personal expenses, delays, and rescue costs.

3. Payment Policy

3.1 Advance Deposit

20% deposit is required to confirm any booking.

3.2 Remaining Balance

The remaining balance must be paid on arrival in Nepal.

3.3 Payment Methods

We accept Bank Transfer, Credit/Debit Card, and Cash on arrival.

3.4 Card Processing Fees

Card payments may include up to a 4% processing fee.

3.5 Bank Charges

All bank or currency conversion fees are the client’s responsibility.

4. Flexible Trip Postponement Policy

Clients may postpone their trip subject to availability. Deposits are retained as credit. Costs already paid to third parties may be non-refundable or non-transferable.

5. Client Cancellations & Refund Policy

  • 20% deposit is non-refundable but reusable.
  • Additional payments may be refunded after deducting third-party costs and fees.
  • No refunds for unused services or early departure.

6. Itinerary Changes & Operational Flexibility

Travel in Nepal depends on weather and local conditions. NepalTrekTribe may modify itineraries for safety reasons. Additional costs from such changes are the client’s responsibility.

7. Mountain Flights & Travel Delays

Flights to remote regions are often delayed. Extra accommodation, rebooking, or helicopter costs are the client’s responsibility.

8. Travel Insurance (Mandatory)

Clients must have insurance covering high-altitude trekking, medical treatment, helicopter rescue, and trip interruption.

9. Health, Fitness & Safety Authority

Clients must be medically fit and follow guide instructions. Guides may modify plans or arrange evacuation if necessary. No refunds apply in such cases.

10. Emergency & Rescue Assistance

We assist with coordination, but all rescue and medical costs are the client’s or insurer’s responsibility.

11. Permits & Government Fees

Permits and government fees are generally non-refundable once issued.

12. Minors (Under 18 Years)

Minors must have written guardian consent and travel with a parent or legal guardian unless legally documented otherwise.

13. Client Conduct & Responsible Travel

Clients must respect local culture and behave responsibly. NepalTrekTribe may remove disruptive clients without refund.

14. Personal Belongings

Clients are responsible for their belongings. We are not liable for loss or damage.

15. Website Content & Intellectual Property

All website content is the intellectual property of NepalTrekTribe unless stated otherwise. Unauthorized use is prohibited.

16. Force Majeure

We are not responsible for delays due to events beyond control such as natural disasters, pandemics, strikes, or political unrest.

17. Governing Law

These Terms are governed by the laws of Nepal and disputes fall under Nepalese jurisdiction.
